There are several nearby hotels available for your convenience. You can book directly with your preferred hotel, and we recommend driving or taking an Uber to reach the Kennedy Space Center for the event.

Package Inspection

All packages are subject to inspection at the discretion of NASA upon arrival.

Shipping Instructions

All shipped materials must arrive at least 4 business days prior to event setup.

Due to limited storage space, we are unable to accommodate early deliveries.

Load-In Details

Date: Thursday (day before event)
Time: Starting at 12:00 PM (Noon)
Location: The Center for Space Education (Building M6-306)

All vendors, staff, and speakers must be listed for parking and entry access due to high-security protocols.

We will update our vendor registration form to collect this information.

Security Notice: This is a government facility. All individuals must be pre-cleared to park and access the building.

Load-Out & Return Shipping

Date: Saturday (end of event)

All return shipments must:

  • Include a prepaid return label
  • Be properly packaged and labeled
  • Be scheduled for pickup directly from the event venue

Our team will place completed return packages in the facility’s receiving dock for carrier pickup.

Important Notes:

  • No general or AV contractors will be provided on-site
  • We recommend shipping any additional equipment/needs in advance

Vendor Registration

All attendees must register to receive a badge. No badge = no admittance. If you have registered someone and need to swap them out, please register the new person and then email me to update the registration.

Raffle prizes and Vendor Passport

There will be a vendor passport (Space invaders) for attendees to complete for a raffle prize - if you would like to enter a prize in please email us so we can advertise it. The Raffle prizes will be displayed through out the conference so attendees can see the options.
